Outgoing invoices: check your own e-invoices before sending and output them

Before an e-invoice leaves your company, you should know what it contains and whether it is right. Your invoicing software creates the file, but you cannot tell from it whether every field is filled correctly. For outgoing invoices we have put together the add-ons for the free eInvoice Viewer that let you check your own invoice, understand it and pass it on as a document.

Further down you can try them all together in one demo. Open an invoice from your own software and see what each add-on contributes.

Five add-ons for outgoing invoices

Each add-on is a product of its own and works inside the free eInvoice Viewer. You choose only the ones you need; together they accompany your invoice from the test file to sending.

Technical Details

Shows for every field number what the standard requires: occurrence, data type, code list and validation rules. The Field Browser and the Rule Browser help when a check reports an error and you want to know what the rule demands.

Identifier Check

Checks your own identifiers such as VAT ID, GLN and IBAN for length, structure and check digit. A typo in the template stands out before the first invoice goes out.

Hybrid Check

For your ZUGFeRD or Factur-X PDF it checks whether the visible PDF and the XML show the same invoice number, total amount and bank details.

Visualizer

Turns the e-invoice into a print-ready document in one of five layouts. The PDF contains the original XML file, for recipients who still expect a readable document.

Extended Profiles

If your software creates invoices in the EXTENDED profile, you also see the fields beyond EN 16931 and can check them before sending.

How to check outgoing invoices with the viewer

  1. Open: Create a test invoice in your invoicing software and open it in the viewer.
  2. Understand: If a check reports an error, the Field Browser and Rule Browser of Technical Details show what the field and the rule require.
  3. Check: The Identifier Check checks your identifiers, the Hybrid Check compares PDF and XML of ZUGFeRD invoices.
  4. Output: The Visualizer creates a PDF with the embedded XML for recipients who expect a readable document.

The demo also shows the free button for checking with VAMPIRE. It checks whether the invoice follows the rules of EN 16931. More on the page eInvoice Validator for VAMPIRE.

Live demo: all add-ons for outgoing invoices

This viewer has the add-ons for outgoing invoices switched on, and the field numbers (BT and BG) are visible. Drag an e-invoice in XRechnung, ZUGFeRD, Factur-X or PEPPOL BIS format into the area. The Hybrid Check appears for a ZUGFeRD or Factur-X invoice as a PDF.

Only the add-ons you need

Each add-on is available on its own in the shop and works inside the free eInvoice Viewer for PEPPOL & EN16931. If checking is your main concern, start with Technical Details and Identifier Check; if you have to pass on paper or PDF, add the Visualizer.
