Incoming invoices: read, check and safely pay e-invoices

Receiving e-invoices takes more than reading them. Is the invoice really addressed to your company? Are the bank details right? Do the PDF and the XML of a ZUGFeRD invoice say the same? For incoming invoices we have put together the add-ons for the free eInvoice Viewer that answer exactly these questions.

Further down you can try them all together in one demo. Drag an invoice into the viewer and see what each add-on contributes.

Six add-ons for incoming invoices

Each add-on is a product of its own and works inside the free eInvoice Viewer. You choose only the ones you need; together they cover the way from the received file to the payment.

Inbound Check

Compares the invoice with your company data and your supplier list and tells you in plain sentences what stands out before you pay, for example a wrong recipient company or an unknown account.

Hybrid Check

Compares the PDF with the XML of ZUGFeRD and Factur-X invoices: invoice number, total amount and bank details. A swapped IBAN stands out before you pay.

Identifier Check

Checks VAT ID, GLN, IBAN and further identifiers for length, structure and check digit and marks typos right at the field.

EPC QR Code

Turns the invoice into an EPC QR code. Your banking app takes the payee, IBAN, amount and reference, with nothing to type.

Exporter

Saves the invoice as an Excel sheet with every field of EN 16931, for example to match it with the purchase order or to pass it on to a colleague.

Extended Profiles

For invoices in the EXTENDED profile it also shows cash discount terms, further parties and references to delivery note or quotation that the free viewer does not show.

How incoming invoices run through the viewer

  1. Open: The viewer shows XRechnung, ZUGFeRD, Factur-X and PEPPOL BIS in readable form. Extended Profiles adds the EXTENDED fields.
  2. Check the form: The Identifier Check marks wrong identifiers at their field.
  3. Check authenticity: The Hybrid Check compares PDF and XML, the Inbound Check compares the invoice with your own data.
  4. Pay and file: Scan the EPC QR code with your banking app; the Exporter files the invoice as an Excel sheet.

The demo also shows the free button for checking with VAMPIRE. It checks whether the invoice follows the rules of EN 16931. More on the page eInvoice Validator for VAMPIRE.

Live demo: all add-ons for incoming invoices

This viewer has the six add-ons for incoming invoices switched on. Drag an e-invoice in XRechnung, ZUGFeRD, Factur-X or PEPPOL BIS format into the area. The Hybrid Check appears for a ZUGFeRD or Factur-X invoice as a PDF, the EPC QR code for an invoice with credit transfer.

Only the add-ons you need

Each add-on is available on its own in the shop and works inside the free eInvoice Viewer for PEPPOL & EN16931. You can start small, for example with Hybrid Check and Inbound Check, and add more later.
